Informal Class Roster in Census

Description

This report creates an informal class roster of students as of a Census date (i.e., CN - 10th Day, FG - Final Grade). This report contains the student UIN, Name, Calculated Class, Total Registered Hours, Section Number, Academic College, Academic Program, Major and Department.

Data Rules to understand when using this report:

  • The data included in Registration Census is “FROZEN” data which mean the data is not updated once it has been captured on the specified census dates provided by each campus’ OAR offices.
  • Registered Students: This report uses the student's course registration status to determine if the student is currently REGISTERED for courses. For example, if a student is registered for 2 CRNs then s/he will appear in the report. However if a student has dropped, canceled, or withdrawn, or is registered for courses as GIS or Auditing ALL courses s/he will NOT appear in the report.
  • Enrolled Students: This report uses the student's enrollment status to determine if the student is ENROLLED for a term (see your campus OAR Fee Assessment and Refund policies). For example, a student may be considered enrolled for a term but NOT registered for courses. If a student has dropped, canceled or withdrawn from all courses by the dates designated by their campus OAR Fee Assessment and Refund dates then the student would not be included in this report. However, if a student does NOT drop, cancel or withdraw by their campus OAR Fee Assessment and Refund dates then the student may appear in this report. In general, if a student is registered for a course(s) as of the 10th Day of Classes, the student would be included as an ENROLLED student.
  • When creating lists of students you must ALWAYS include the Person Confidentiality Indicator for FERPA restrictions. Consult your campus OAR office for FERPA policy and guidelines.
