Non-Exhaustive Catalog of IT Systems and Services

The Records and Information Management Services (RIMS) office engaged in discussions with multiple units across the University regarding the need to establish a catalog of IT systems and services from around the University.

From these discussions, RIMS has created a non-exhaustive list of systems and services where data is accessed and/or stored, the purpose of which is to provide a syndicated resource where staff can share, edit, and identify areas where data can be consumed and protected.

Since systems and services are constantly emerging and maturing, the catalog does not profess to be an exhaustive list or the authoritative source. As such, this list contains the identification of a subsequent pointer(s) to a prospective authoritative source and it should be used as a starting point for consideration when determining the use of the University’s digital information assets, systems, services, or repositories.

Note:
Research information/data is not considered here, except where there are intersections of process, definition, or plan. For example, data classification schema (sensitive, private, public, etc.) could impact any information/data regardless of where it is located.

Goal

The goal of this project is to identify as many systems and services as we can where University records are or may be accessed, created, or stored.

  • Identify where and how information is stored
  • Support and protect the University’s data
  • Provide a list of systems and services to serve as a reference point for other initiatives
  • Identify where shared services might provide efficiencies

In Scope

Phase One:

  1. Develop a catalog of known systems and services;
  2. Standardize the catalog metadata;
  3. Identify maturing information classification efforts;
  4. Learn the types of information governance that might apply; and
  5. Identify where units might benefit from further University support.

Not In Scope

Phase One:
Will not attempt to address the broader issue of duplication, efficiency, data ownership, stewardship, custodial responsibilities, information management classification, and/or appropriateness of the listed systems or services.

  • Add additional unit systems to catalog; if you know of any not listed or to request a visit, please let us know.
  • Work with established teams to refine catalog taxonomy and variants.
  • Work with established governance teams to integrate University data principles: class, compliance, and ownership.
